How to Use the Ledger System

Follow these simple steps to set up funds, log transactions, and pass government financial audits.

Deep Dive Explanation

Pro Tip / Technical Detail:

Auditing & Structural Features

Built specifically to comply with the strict guidelines of school finances and local audits.

Self-Balancing Cashbook

Traditional ledgers require manual credit/debit mapping. Our system automates this—recording a transaction instantly constructs cash and bank columns, saving time and preventing human error.

Independent Funds

School grants are legally ring-fenced. The ledger partitions funds like SSA and Mid-Day Meal, calculating unique cash and bank columns for each, while consolidating everything in the General Cashbook.

Secure Local Backups

Protect financial history. The built-in dumper creates local SQL or sqlite backups, with automated safeguards to copy the current database state *before* importing any previous backups.

Frequently Asked Questions

Answers to typical questions about system functionality and compliance.

Do I need double-entry accounting knowledge to use this?

No. The system is designed for simple, single-input logging. You enter the particulars, amount, date, and fund, and the software automatically routes the debit/credit entries to cash, bank, or contra columns.

How does the BRS calculate Expected Passbook Balance?

Expected Passbook Balance = Cash Book Bank Balance + Uncleared Cheques. Since uncleared cheques represent payments made by the school that have not yet been debited by the bank, they are added back to the cash book balance to predict the bank passbook statement.

Where are database backups stored?

Backups are stored locally in the secure storage directory of the application server (`storage/app/private/backups/`). They can be downloaded directly from the Database Backup panel or restored in one click.
